Wrapped uses Lightspeed Retail X-Series' (formerly Vend) own gift cards. Every Wrapped gift card exists in X-Series with the same code, so staff sell and redeem on the Sell screen as normal. When a sale with a gift card is completed, X-Series tells Wrapped, Wrapped updates the card, and then pushes the new balance to every other connected sales channel. Changes made anywhere else (your web store, Shopify, the Wrapped dashboard) are pushed back into X-Series.
What syncs from X-Series into Wrapped
| At the register | What Wrapped does |
|---|---|
| A gift card is sold (the Gift Card product with a new card number) | Creates the gift card in Wrapped with the amount paid, and emails it if a customer with an email address is on the sale |
| An existing card is reloaded (the Gift Card product with an existing card number) | Adds the amount to the card in Wrapped |
| A sale is paid with the gift card payment type | Records a redemption on the card and updates its balance |
| A sale containing a gift card or gift card payment is voided | Brings a sold card to $0 and marks it Disabled, and gives back any amount redeemed on that sale. See Voiding a gift card sale or return in X-Series |
| Refund to gift card or Import Shopify gift card payment types | Update Wrapped straight away, while the sale is still open |
Wrapped only processes a sale once it's fully paid (closed). A gift card sold on layby or on account is created in Wrapped when the layby or account sale is paid off. Wrapped re-checks on-account sales daily.
What doesn't sync from X-Series
- Balance changes made directly in the X-Series back office. Only balance changes that belong to a sale sync into Wrapped. Editing, voiding or adjusting a gift card in Lightspeed's gift card screens isn't picked up, and the next time Wrapped syncs that card it sets X-Series back to Wrapped's balance. To correct a balance so every channel stays in step, use Adjust balance on the gift card in Wrapped (see Adjust a gift card's balance) or the Wrapped API (Pro plan and above).
- Sales completed before you connected X-Series to Wrapped.
- Sales that came into X-Series from Shopify or WooCommerce. The online store's own connection to Wrapped handles those orders, so they aren't counted twice.
- Gift cards that existed in X-Series before you connected, until they're imported. See below.
- Sales made while the sales channel is turned off in Wrapped.
What syncs from Wrapped into X-Series
- New gift cards issued anywhere else are created in X-Series with the same code and balance.
- Balance changes (online redemptions, adjustments, top-ups, bonus credit) are applied to the X-Series card so its balance matches Wrapped.
- Voided, deleted and expired cards have their balance set to $0 in X-Series. Wrapped doesn't void or delete the card inside Lightspeed. See Void or delete a gift card.
For how this works across all channels, see How balance changes sync between Wrapped and your sales channels.
How long it takes
- Register to Wrapped: usually within a few minutes of the sale being completed. The card's timeline in Wrapped updates as soon as the sale is processed.
- Wrapped to your other channels: straight after Wrapped processes the sale.
- Reports: the Reports pages catch up within about 2 hours. See How often reports update.
Expiry
Gift cards sold at the register take the expiry date X-Series gives them. If X-Series doesn't set one, Wrapped applies the expiry from your gift card settings. For cards issued in Wrapped, Wrapped handles expiry itself: when a card expires, Wrapped sets its X-Series balance to $0. To keep dates consistent, use the same validity period in X-Series and Wrapped. See Gift card expiry.
Gift cards you already had in X-Series
Existing X-Series gift cards aren't in Wrapped until they're imported, and redeeming one at the register before then doesn't update Wrapped. You can:
- Ask the Wrapped team to import all active gift cards from your X-Series store (see Getting help).
- Import them from a file (see Import existing gift cards from a CSV file).
A card that isn't in Wrapped yet is also brought in automatically the first time someone looks it up on your check balance page.
When a sale doesn't come through
X-Series order notifications occasionally go missing. Wrapped has three safety nets, all under Settings › Sales channels:
- Daily catch-up. Every night Wrapped re-checks the last 7 days of completed X-Series sales and picks up any gift card sales it missed. Select Check orders on the sales channel, then the Daily catch-up tab, to see what it found or to Run now.
- Check specific orders. On the same page, paste invoice numbers into Check specific orders to see what Wrapped did with each one.
- Process one sale by invoice number. Select Settings on the X-Series sales channel, enter the Invoice number and select Process order.
The Connection section on the Check orders page shows whether the order notification is installed and whether Lightspeed still accepts Wrapped's connection. If it shows a problem, use Reinstall webhooks, or reconnect the store (see Connect Lightspeed Retail X-Series).
Common questions
Does a customer get an email when they buy a gift card at the register?
Yes, if a customer with an email address is on the sale. They receive your gift card email, which can include Apple Wallet and Google Wallet buttons. Without a customer, no email is sent. See Customize your gift card emails.
Do marketing automations work with X-Series sales?
Yes. "When order is paid" and gift card purchase automations trigger on paid X-Series sales. A bonus gift card is emailed, so the sale needs a customer with an email address. Bonus credit is added to the purchased card and doesn't. See Marketing automations.
A card was used in store and online at the same moment. What happens?
Each redemption is recorded separately, so the balance can go below zero. See What happens if a card is used in two places at the same time.
What happens to X-Series gift cards if we cancel Wrapped?
They stay in X-Series and keep working there, but Wrapped no longer keeps their balances in step with your other channels.
Why does a gift card show a sync error for X-Series?
Wrapped couldn't create or update the card in X-Series, for example because the code breaks X-Series' rules or the connection has expired. See Fixing gift card sync errors.
