Refund to a gift card in X-Series

Set up the "Refund to gift card" payment type in Lightspeed Retail X-Series (Vend), then use it at the register to put a return onto a new emailed gift card or onto a customer's existing Wrapped gift card.

The Refund to gift card payment type lets staff refund a return onto a Wrapped gift card instead of cash or card. They can create a new gift card, which Wrapped emails to the customer, or add the refund to an existing gift card the customer already has. You add the payment type once in Lightspeed Retail X-Series (formerly Vend), then it's available on the Sell screen.

Set up the payment type

    1. In Wrapped, go to Settings › Sales channels (open) and copy the ID of your X-Series sales channel with the copy button next to it.
    2. In X-Series, go to Setup › Payment types and select Add payment type.
    3. Choose Other payment method and continue.
    4. Name it something staff will recognise, such as "Refund to gift card".
    5. In the Gateway URL field, enter https://manage.wrappedgiftcards.com/vend/refund/ followed by your sales channel ID, for example https://manage.wrappedgiftcards.com/vend/refund/65a1b2c3d4e5f60718293a4b.
    6. Save the payment type. It now appears in your list of payment types.

The ID must be the Wrapped sales channel ID for this X-Series store, not your Wrapped account ID or a Lightspeed ID. If the ID is wrong, the refund screen can't find your account.

Refund to a new gift card

    1. Process the return on the Sell screen as you normally would.
    2. On the payment screen, choose Refund to gift card.
    3. Select New gift card.
    4. Check Customer Email address. It's filled in from the customer on the sale. If there's no customer, type their email address. An email address is required.
    5. Select Confirm and Accept, then complete the refund.

Wrapped creates a gift card for the refund amount and emails it to the customer. The receipt shows "REFUNDED TO GIFT CARD" with the new code. The customer doesn't need a physical card.

Refund to an existing gift card

    1. Process the return and choose Refund to gift card.
    2. Select Existing gift card.
    3. Scan or type the customer's gift card code in Existing gift card code and select Look up.
    4. Check the Current balance, Refund amount and New balance.
    5. Select Confirm and Accept, then complete the refund.

The refund is added to that card's balance in Wrapped and every connected channel, and the customer gets an updated balance email if the card has an email address. The existing card must be an active Wrapped gift card.

What happens in Wrapped

  • The gift card appears in Gift cards › All gift cards straight away, with the refund recorded on its timeline against the X-Series sale.
  • A new refund card is created in X-Series and your other sales channels within a minute or two, then emailed.
  • The refund is linked to the X-Series sale it came from. You can also find the card by the customer's email address (see Find a gift card by code, email or order).

Common questions

The screen says "Invalid use of "Refund to Gift Card"".

This payment type only works for refunds and returns, where the amount is negative. If a staff member chose it for a normal sale, select Choose Another Payment Type.

The customer paid with a gift card. Can I put the money back on the same card?

Yes. Choose Existing gift card and look up the card they paid with.

Can I refund onto a gift card without this payment type?

Yes. X-Series also lets you add a gift card to the return and reload it with the refund amount, as an exchange. Wrapped treats that as a top-up on the card. The Refund to gift card payment type is simpler for staff and can email a brand new card.

Does a refund gift card get the usual expiry?

Yes. A new refund card uses the expiry in your gift card settings, if you have one. See Gift card expiry.

What if the customer returns a gift card they bought?

That's a void, not a refund to a gift card. See Voiding a gift card sale or return in X-Series.
