You can refund a return onto a gift card in Lightspeed Retail R-Series. How you do it depends on how your store uses gift cards: with native gift cards, choose Gift Card as the refund payment; with the Wrapped Gift Cards button (web extension), add a gift card to the refund with the button. Either way, Wrapped creates or tops up the card, syncs it to your other channels and emails the customer if they're on the sale.
Not sure which your store uses? If staff have a Wrapped Gift Cards button on the sale screen, you use the web extension. See Connect Lightspeed Retail R-Series: native or web extension?
Native gift cards
- In Lightspeed, go to Sales › Refund. If you don't see Refund, select New Sale first, then go back to the Sales menu.
- Scan the customer's receipt, or enter the item being refunded.
- When the refunded items are on screen, go to payment.
- In the refund payment options, select Gift Card.
- Scan or type a gift card code and select Go. Use the customer's existing gift card to add to it, or a new card's code (or generate one) to issue a new card.
- Select Refund, then Finish Sale.
Wrapped reads the finished refund, usually within a few minutes. A new code becomes a new gift card in Wrapped; an existing card's balance is updated to match Lightspeed. If a customer with an email address is on the refund, they get your gift card email.
Web extension (Wrapped Gift Cards button)
With the web extension, put the refund onto a gift card by adding a gift card to the refund, the same way you'd do an exchange. The gift card line uses up the refund amount, so the sale totals $0.
- Start the refund in Lightspeed as normal (Sales › Refund, then scan the receipt or enter the items).
- For a new emailed gift card, add the customer to the sale with their email address.
- Select Wrapped Gift Cards.
- New card: select Generate digital gift card, or Find or activate gift card and scan a new physical card. Existing card: select Find or activate gift card, scan or type the customer's code, then select Add funds to gift card.
- In Amount to Add, enter the refund amount and select Add to sale.
- Check the sale total is $0, then finish the sale.
Wrapped picks up the finished sale within a few minutes and creates or tops up the card.
With the web extension, don't choose the Wrapped Gift Cards payment type as the refund payment. That payment type is for taking payments with a card, not for putting money back on one. Use the steps above instead.
Common questions
The customer paid with a gift card. Can the refund go back on the same card?
Yes. Use that card's code in the steps above.
Does the customer need an email address?
Only if you want Wrapped to email them the card. A physical card, or a card they already have, works without one.
Does the refund show in Wrapped as a refund?
With native gift cards, a new card from a refund appears as a gift card sold on that R-Series sale, and money added to an existing card appears as a top-up. With the web extension, it appears as a gift card sold or topped up on that sale. Check the card's timeline for the sale number. See Reading a gift card's timeline and adjustments.
What if the customer returns a gift card they bought?
Void the gift card in Wrapped (open the card and choose Void gift card), then refund their payment your usual way. See Void or delete a gift card.
