Reading a gift card's timeline and adjustments

What's on a gift card's page - balance, total issued, status badges and the Activity timeline - what each timeline entry means, how it differs from the adjustments used in reports, and how quickly each updates.

Every gift card has a page showing its balance, status and an Activity timeline: a plain-English log of everything that happened to the card, newest first. It shows purchases, redemptions in each sales channel, dashboard changes (with who made them), syncs to your sales channels and emails sent. The timeline updates as soon as something happens. Reports catch up within about 2 hours.

To open a card, go to Gift cards › All gift cards, find the card (see Find a gift card) and click its code. The quick view shows the latest six activity entries; click Open or View all for the full page.

The top of the page

Total issuedAll the value ever put on the card: the starting value plus any top-ups or added value. Spending doesn't reduce it.
Issued / ExpiresWhen the card was issued and when it expires ("Never" if it doesn't).

Other badges: To ship, Shipped or Pending email (web store delivery), Emails off, Hidden from reporting and Promotional.

Status badges

StatusMeaning
FullThe balance equals the card's original value.
PartialSome of the value has been used.
RedeemedThe balance is $0. The card still exists and can be topped up.
EmptyNothing has been loaded yet, for example a printed card from a $0 batch.
DisabledThe card was voided.
ExpiredThe card is past its expiry date.
Valid / RedeemedUsed for web store vouchers instead of a balance.

Details, customer and notes

  • Details: the Order it was bought in (click to open it in your sales channel), Reason, Expires, Promotional, Email notifications and Reporting, each with a Change, Turn off or Hide action where it applies.
  • Customer: recipient email and name, who it was gifted from, the gift message and any scheduled send time.
  • Notes: private notes only your team can see.

The Activity timeline

Each entry shows what happened, the sales channel's icon and name, who did it (a team member's email, where there is one), the location (for in-store sales) and the date and time in your account's time zone. Click Refresh to load new entries. Where the entry came from an order in Shopify, Lightspeed X-Series, O-Series or R-Series, Square or your web store, a View order link opens it.

Timeline vs adjustments

Wrapped keeps two records:

  • The timeline is the human-readable history of the card, including things that don't change money, such as emails, edits and syncs.
  • Adjustments are the financial records behind the balance: activation, redemption, top-up, manual adjustment, void, expiry, refund, CSV import and so on. Reports use adjustments. The Adjustments report lists every one and can be exported. See The Adjustments report.

The timeline is live. Reports come from a separate reporting database that refreshes about every 2 hours, so a change you can see on the card may take up to 2 hours to appear in a report. See How often reports update.

Common questions

How do I see who changed a balance?

Look for the adjustment entry in Activity. Changes made in the dashboard include the team member's email and the reason they entered. Account-wide changes are also in Settings › Audit log.

Why is Total issued higher than the card's original value?

Value has been added since it was issued, for example a top-up, a positive balance adjustment, bonus credit or a refund to the card.

The card says Redeemed but the customer still has it

"Redeemed" just means the balance is $0. You can add value again with Adjust balance.

Can I delete or edit a timeline entry?

No. The timeline is a permanent record. To correct a balance, make a new adjustment.
