Every gift card and voucher has a printable PDF that customers open from a link in their email, such as Print it or Print your voucher. The PDF isn't attached to the email: it's created each time someone opens the link, on an A4 page, so it always shows the current balance and your latest design and wording. With the new branding, it uses your brand and you edit its words on Branding › Emails.
What's on the PDF
The default PDF has:
- your logo at the top
- a heading with the amount (gift cards) or the voucher name (vouchers)
- the gift card image (gift cards) or the voucher's details, option and value (vouchers)
- the code, next to a QR code of the code
- a short line on how to use it
- your product's terms, if it has any
- a footer with your business name, website and support email from Branding › Brand
There are no wallet buttons or email buttons on the PDF, because they don't work on paper. It's laid out to fit on one page; if your terms are long, only the terms move onto a second page.
Which PDF a card uses
| Card | |
|---|---|
| Gift card issued in the dashboard or bought through a sales channel | Gift card PDF |
| Gift card bought from your web store | Web store gift card PDF |
| Voucher | Voucher PDF |
Edit the PDF
- Go to Branding › Emails (open) and scroll to PDFs.
- Select Edit on the PDF.
- Change the words and blocks, the same way as an email. A PDF has no subject line, and it must keep its Code and QR code blocks.
- Select Save.
The look (logo, colours, font, corners) comes from Branding › Brand. A web store product can have its own version of its PDF: open the product and select Customise next to the PDF under Emails and PDF. See Customize your gift card emails.
Because the PDF is created when it's opened, a change you save applies to every card's PDF from then on, including cards sold before the change. The same goes for a product's terms: editing them changes the terms on PDFs of vouchers already sold.
Link to the PDF from an email
The default Gift card purchased and Gift card sent as a gift emails have a Print it link, and the voucher emails have a Print your voucher button. To add a link elsewhere, select text and choose Link › Printable PDF, or add a Button block and set Button links to to Printable PDF. In the classic editor, link to {{pdf_url}}. See Email merge tags.
Download a card's PDF in the dashboard
Open the gift card in Gift cards › All gift cards, open the … menu and select Download PDF.
Printing many cards at once
On Gift cards › Batches, a batch of up to 500 cards can be turned into one printable PDF, one card per page, using the same PDF design. The file is prepared in the background and sent to an email address you choose. See Batches: create many gift cards at once.
Classic branding
On the classic branding, the PDF is designed in the drag-and-drop editor like an email. Open it from Branding › Designs with Customize on Gift card issued (PDF). Vouchers and web store gift cards use the voucher PDF, which you edit from Web store › Emails.
Common questions
Can the PDF be attached to the email instead?
No. The email always links to the PDF, so customers get the latest balance and design whenever they open it.
Who can open a PDF link?
Anyone who has the link, like the gift card code itself. Customers should keep it private.
Does the PDF show the current balance or the original amount?
The balance at the moment the PDF is opened. If the card has been partly used, a PDF opened later shows the lower balance.
Can I change the paper size?
No. PDFs are A4.
Why does a customer's PDF look different from the one they printed last month?
The PDF is created fresh each time it's opened, so it reflects any design, wording or terms changes made since.
Does the PDF show a 1D barcode?
No. On the new branding the PDF shows a QR code and the code as text. See Barcode type on emails and wallet passes.
