Connect Lightspeed Restaurant K-Series

How to connect a Lightspeed Restaurant K-Series location to Wrapped - add the sales channel, create the hidden WRAPPED payment method, add the gift card web extension button and product, and ask Lightspeed to turn on order notifications so sales and redemptions sync.

To connect a K-Series location, you add a K-Series sales channel in Wrapped, set up four things in your K-Series Back Office (a hidden payment method, a web extension button, a gift card product and your location ID), ask Lightspeed support to send Wrapped your order notifications, and then turn the sales channel on. Each K-Series location is connected separately.

How K-Series works with Wrapped

K-Series doesn't have gift cards of its own, so your gift cards live in Wrapped and staff reach them through a button on the POS:

  • Staff sell, top up, check and redeem gift cards from a Gift card button on the POS. The button opens the Wrapped web extension inside K-Series.
  • A gift card sale is added to the order as your gift card item, with the code in brackets, for example "Gift card (ABCD-1234)".
  • A redemption is added to the order as a payment on a hidden payment method called WRAPPED.
  • Nothing changes in Wrapped until the order is closed (fully paid) in K-Series. Lightspeed then sends the closed order to Wrapped, and Wrapped creates the card, adds the funds or deducts the redemption, and pushes the new balance to your other connected sales channels.

Wrapped only learns about K-Series sales through Lightspeed's real-time order notifications, which Lightspeed support turns on for each location (step 6). Until they do, staff can still use the button, but no gift card sale or redemption is recorded in Wrapped. Orders closed before notifications are turned on aren't picked up later.

Before you start

  • You need to be an Owner or Admin in Wrapped to add a sales channel.
  • You need access to K-Series Back Office for the location you're connecting.
  • If you have several K-Series locations, repeat every step for each location. Each location gets its own sales channel, web extension URL and order webhook URL.

Step 1: Add the K-Series sales channel in Wrapped

    1. In Wrapped, go to Settings › Sales channels and select Add sales channel.
    2. Choose Lightspeed Restaurant (K-Series).
    3. Wrapped creates the sales channel and opens the K-Series setup guide. This checklist has the steps below, your unique Web extension URL and Order webhook URL, and an email template for Lightspeed.
    4. Tick off each step as you finish it. You can come back to the checklist any time with the Setup button on the sales channel.

The new sales channel starts turned off. You turn it on in step 7.

Step 2: Create the WRAPPED payment method

    1. In K-Series Back Office, go to Payment › Payment methods and add a payment method.
    2. Set the type to Other payment method.
    3. Set the Code, Name and Accounting reference to WRAPPED, in capitals. Save.
    4. Open your POS configuration, select it, and go to its Payments settings.
    5. Untick WRAPPED so it isn't an accepted payment method staff can choose. It should show as turned off. Save.

The WRAPPED payment method has to exist, because the web extension records gift card redemptions against it. Staff must never choose it directly: a payment taken on WRAPPED without going through the gift card button doesn't charge any gift card, and nothing syncs.

Step 3: Add the web extension and the gift card button

    1. In the Wrapped setup guide, copy the Web extension URL. It's also in the sales channel's Settings.
    2. In K-Series Back Office, go to Operations › Web Extensions and create a web extension.
    3. Paste the URL, tick the option to add a JavaScript context to the page, and save.
    4. Go to Menu › Menu Management and open the menu your POS devices use.
    5. Add a screen or button named Gift card and point it to the web extension you just created.
    6. Save, then update and reload your devices so the button appears on the POS.
    7. If your devices use more than one menu, add the button to every menu.

Tick the JavaScript context option. Without it, the extension opens but can't read the order or add gift cards and payments to it.

Step 4: Create the gift card product

    1. In K-Series Back Office, go to Menu › Accounting groups and add an accounting group called Gift cards, with the tax profile set to Tax Exempt.
    2. Go to Menu › Item list and create a single item.
    3. Set the item name to Gift card, the accounting group to Gift cards, and the price type to Manually-entered price. Save.
    4. Open the item again and copy its item ID from your browser's address bar.

The tax-exempt accounting group means tax isn't charged when a gift card is sold. The manually entered price lets staff load any amount.

Step 5: Save your business location ID and gift card product ID

    1. In K-Series Back Office, find your Business location ID. Depending on your Back Office version, it's under About on the home screen, or in the business details you open by selecting your business name at the top right.
    2. In the Wrapped setup guide, go to Add the gift card product and location ID.
    3. Paste the Business location ID and the Gift card product ID from step 4, then select Save.

The Gift card product ID must be the ID of the item you created. Wrapped only treats an order line as a gift card sale if it uses that item, so a wrong ID means gift cards sold at the POS are never created in Wrapped.

Step 6: Ask Lightspeed to turn on order notifications

    1. In the Wrapped setup guide, copy the Order webhook URL.
    2. Contact K-Series support, either through in-app chat in Back Office (choose the Integrations topic) or by email at k-series.support@lightspeedhq.com.
    3. Send the email template from the setup guide with your details filled in. It looks like this:

Hi there, I'm [NAME], from [BUSINESS NAME]. Please approve Wrapped to receive real-time order notifications from my K-Series account.

Name of integration: Wrapped x K-Series Business Name: [Your business name] Business ID: [Your K-Series business ID] Business Location ID: [Your K-Series location ID] Description of the request: Realtime Notifications Setup Realtime Notification URL: [Paste your unique Order Webhook URL]

When Lightspeed confirms, closed orders from that location start reaching Wrapped. Send a separate request for each location, with that location's own order webhook URL.

Step 7: Turn the sales channel on

In Settings › Sales channels, turn on the switch next to your K-Series sales channel. Wrapped ignores orders from a sales channel that's turned off, even when Lightspeed is sending them.

Step 8: Test it

    1. On the POS, sell a gift card for a small amount using the Gift card button, and close the order. See Staff guide: selling a gift card in K-Series.
    2. In Wrapped, go to Gift cards › All gift cards and open the new card. Its timeline shows it was purchased in a Lightspeed Restaurant (K-Series) order.
    3. In a second order, redeem the card and close the order. See Staff guide: redeeming a gift card in K-Series.
    4. Check the card's balance went down in Wrapped.
    5. When you're done, delete the test card so it stays out of reporting. See Removing test gift cards before you launch.

K-Series sales channel settings

Select Settings on the K-Series sales channel to change these.

Let staff look up gift cards by customer emailStaff can type a customer's email address instead of a code to find their gift cards, and a customer attached to the order has their gift cards listed automatically.

Common questions

Gift card sales or redemptions aren't showing in Wrapped

Work through these in order:

  1. Was the order closed? Nothing syncs until the order is fully paid and closed in K-Series.
  2. Is the sales channel turned on? Check the switch in Settings › Sales channels.
  3. Has Lightspeed turned on order notifications for this location? Make sure they used this location's Order webhook URL. Use Check orders on the sales channel to see which orders Wrapped has received.
  4. Is the gift card product ID right? It must match the item on the order.
  5. Did staff use the gift card button? Typing the gift card item in by hand, or choosing a payment method directly, isn't recorded as a gift card.

Every lookup, new card, top-up and redemption made through the web extension is also written to Settings › Audit log, even if order notifications aren't working. That shows you what staff did so you can correct cards with Adjust balance or Issue gift card. See A gift card wasn't created for an order.

Can customers use a gift card bought in K-Series somewhere else?

Yes. The card lives in Wrapped, so once the order closes it's synced to your other connected sales channels, such as Shopify or your web store, and can be used at any of your connected K-Series locations through the gift card button.

Do gift cards sold in K-Series count toward my plan?

Yes. Each new gift card sold through K-Series counts toward your monthly gift card allowance. See How the monthly gift card allowance works.

What if we refund or cancel a K-Series order that included a gift card?

Wrapped processes closed orders, so check the gift card afterwards. If its balance isn't what it should be, open the card in Wrapped and use Adjust balance, or void it. See Adjust a gift card's balance and Void or delete a gift card.

What happens to K-Series gift cards if our Wrapped subscription ends?

K-Series has no gift cards of its own to fall back on: the cards and their balances are held in Wrapped, and the gift card button depends on Wrapped.
