Staff guide: selling, redeeming and refunding gift cards in Heartland

Step-by-step instructions for staff using Heartland Retail POS with Wrapped - selling a physical gift card, redeeming a gift card from a card, email or wallet, and refunding a return onto a gift card.

You sell, redeem and refund Wrapped gift cards in Heartland Retail exactly as you do Heartland gift cards. When you complete the sale, the gift card and its balance update in Wrapped and in every other connected channel, usually within a few minutes. A gift card sold in store can be spent online, and a gift card from an email or wallet can be spent in store.

Selling a physical gift card

    1. On the sale screen, select Gift Card.
    2. Scan or type the number on the physical gift card.
    3. Enter the amount and select Add Funds.
    4. To email the customer a digital copy of the gift card, add the customer to the sale with their email address.
    5. Complete the sale as normal.

The gift card is created in Wrapped and your other channels. If the sale has a customer with an email address, Wrapped emails them the gift card, which they can forward to someone else.

To add money to a gift card the customer already has, follow the same steps with their existing card number.

Redeeming a gift card

Customers may show a physical gift card, a gift card email (on their phone or printed), or a card in Apple Wallet or Google Wallet. All of them work the same way.

    1. Ring up the sale as normal and choose the payment method Gift card.
    2. Scan or type the gift card code and select Lookup.
    3. Check the balance, then select Add Payment.
    4. If the balance doesn't cover the sale, take a partial payment from the gift card and choose another payment method for the rest.
    5. Complete the sale as normal.

After the sale, the new balance updates in Wrapped and every connected channel. If the card has an email address, the customer is emailed their updated balance, and a card saved in Apple Wallet or Google Wallet updates too.

Heartland stores gift card numbers without dashes or symbols, and with capital letters. If a code has dashes, type it without them.

Refunding a return onto a gift card

    1. Start a new sale and select Find Ticket from the menu on the left. Search for the original order number.
    2. Tick the items being returned and select Return Items.
    3. Choose the return reason and select Return Item.
    4. Select Tender.
    5. Choose the gift card payment type and enter a gift card code: a new physical card to give the customer, or their existing card if they'd like the refund added to it. An existing card shows its current balance; a new card doesn't.
    6. Select Add Refund.
    7. Complete the sale.

The refund appears in Wrapped, and the balance is available in store and online straight away after it syncs.
